ACICIS Indonesia is Hiring – Program Assistant

A position has become available within The Australian Consortium for ‘In-Country’ Indonesian Studies (ACICIS) Jakarta or Yogyakarta Office, for a Program Assistant (PA). This position would suit a graduate of a local or Australian university. Job Description

This is a position that would suit a graduate of an Indonesian or Australian university. The PA will mainly be assisting with the ACICIS Tours and Intensive Programs. The PA reports directly to the Program Coordinator (PC), and then the Resident Director (RD). Duties to be performed by the PA include, but are not limited to:

  1. The planning of program events including orientation, excursions and other activities as directed by the PC, and/ or RD;
  2. Assisting the Program Coordinator (PC) for Tours in managing tours administrative materials and logistics needed for the pre-departure phase and implementation of tour programs;
  3. Serving as a liaison with partner universities, health providers, schools, hotels and other partner organisations and maintaining sound relationships with key personnel at these institutions;
  4. Assisting the PC in managing tours in booking accommodation, transportation and meals for in-country / offline program;
  5. Actively mentoring all students on matters pertaining to their work and study and their general understanding of Indonesia, and advising on appropriate conduct in Indonesia;
  6. In cooperation with the PC, complete all routine administration that is part of ACICIS pastoral care responsibilities (maintaining databases, counselling students, liaising with home universities as required);
  7. Providing assistance to students in routine and/or emergency medical or security procedures;
  8. Conducting end of program evaluation sessions with participants and offering this information as feedback into the ongoing development and improvement of ACICIS tour programs;
  9. Assisting the Program Coordinator and RD with other tasks as required related to tours;
  10. Assisting other ACICIS programs and tasks when directed by the RD/ PC.

Working Hours and Remuneration

  • This role is full-time, 40 hours per week, with the understanding that the scheduling of program events means that the distribution of hours over the period of a week may be flexible. Standard work hours are 9am-5pm, Monday to Friday, with a one-hour lunch break. Occasional out-of-hours’ work will be required during orientation sessions and extra-curricular activities, and will be compensated through leave in lieu;
  • The PA role will be remunerated at a competitive rate, starting from IDR 4,369,000 (gross, before tax) with an additional 35% loading for Jakarta based positions, or commensurate with the applicant’s skills and experience.

Selection Criteria

  1. Bachelor’s Degree (S1) from an Indonesian or Australian university with a sound academic record;
  2. At least 2 (two) years of professional experience in a similar position;
  3. Professional level of English proficiency, and a willingness to develop this further as a part of the role;
  4. Computer literacy in using the Microsoft Office suite, video conferencing platforms, social media applications; and Photoshop/ InDesign (desirable);
  5. Excellent time management skills and the ability to prioritise a range of competing tasks;
  6. Demonstrated sound cross-cultural, professional communication skills in written and oral, and a willingness to learn about new cultures;
  7. A team player with a pleasant personality who can work well in flexible working environments.
